Customer escalation automatically creates a HubSpot Ticket

Imagine a high-value customer reports a critical issue. Support creates a Bug in Jira to involve Engineering.

Without automation, the Customer Success Manager (CSM) manually creates a Ticket in HubSpot, copies details, and keeps updating it as progress happens. This causes:

  • Delays

  • Duplicate data entry

  • Inconsistent information

  • Poor visibility for Sales/CS

With this action rule, every qualifying Jira work item automatically creates a corresponding HubSpot Ticket (or Deal, Contact or Company).

Engineering works in Jira.
Revenue teams work in HubSpot.
Both see the same lifecycle, without manual syncing.

About this rule

The keyword here is Create New. This rule always creates a fresh object in HubSpot. It does not update an existing one, and it does not look for matches first.

Part one: inside the HubSpot for Jira app

Open the HubSpot for Jira Configuration, go to the Automation screen, and create a new automation rule.

  1. Give your rule a name. Make it descriptive. You will need to find it again by name when you build the Jira flow, so make it easy to recognise.

  2. Select that this is a Jira to HubSpot Automation.

  3. Select the action, in this case Create New HubSpot Object.

  4. Select the Jira space the rule should apply to.

  5. Choose the HubSpot object type you want to create: Contact, Company, Deal or Ticket.

  6. Set up your field mappings under Additional Field Mappings for Object Creation. Select Create New Attribute Mapping, then on the Mapping from Jira to HubSpot screen choose a Destination HubSpot Field and the Jira value that populates it. For example, the Jira reporter’s email might map to the Contact’s Email property.

  7. Save the rule.

Part two: inside Jira Global Automation

  1. Go to Jira Global Automation and create a new automation flow.

  2. Pick your trigger, for example Work item created or Status changed.

  3. Add an action and, from the list, find HubSpot CRM for Jira.

  4. From the HubSpot CRM for Jira actions, choose Create New HubSpot Object.

  5. Select the specific rule you just built, by the name you gave it earlier.

  6. Save and enable your automation.

The first time you add a HubSpot CRM for Jira action on a site, Jira asks you to connect Atlassian Automation to the app. Select Connect and complete the prompt. Later flows reuse the same connection.

Outcome

  • A brand-new HubSpot Ticket is created instantly.

  • The Jira work item is linked automatically.

  • Sales & CS get CRM visibility without leaving HubSpot.

  • No one needs to ask Engineering for updates.
