Getting Started

Out of Office Assistant keeps work moving while people are away. You record an absence as a rule, and for as long as that rule is running the app reassigns the person's work items to the coverers named on it, passes any Jira Service Management approvals to their approver coverer, and shows their availability on the work items they are assigned to.

This section takes you from installing the app to a first working rule. The pages are grouped by what you are trying to do, so start with the group that matches your role.

Before you begin

  • Out of Office Assistant runs on Atlassian Forge and is available for Jira Cloud only.

  • A Jira administrator installs the app and approves the Jira scopes and external domains it requests. The app is licensed for the whole site under Atlassian's standard model, so one subscription covers every user on it.

  • Once the app is installed, open it from the Apps section of the Jira sidebar.

Set up the app

Administrator tasks. These are done once for the site.

  1. Installation and Setup Guide - install from the Atlassian Marketplace, approve the app's permission request, and confirm that the people who need the app are licensed.

  2. Permissions and Access Requirements - decide who may manage other people's rules. Out of Office admins are appointed in the app. Delegating to a space admin takes a grant in Jira as well as one in the app - neither works alone.

  3. Restricting Out of Office to Specific Spaces - optional. Confine a delegated administrator to named spaces, or switch the app off in a space entirely with an Atlassian data security policy, so its panel and its reassignments do not reach that space.

Start using the app

For anyone scheduling their own absence. No administrator rights are needed.

  1. Interface Tour and Navigation Guide - what each of the app's tabs holds and where each task lives, including which parts only administrators see.

  2. Out of Office Quick Start Guide - create your first rule: set the absence dates, decide what happens to your work while you are away, and check that the rule appears under My Rules.

Upgrading from the Connect version

Out of Office Assistant previously ran on Atlassian Connect. Your configuration comes across on its own, but three things change in ways that need an administrator: the JQL search aliases, REST API tokens, and where permissions are granted. If your site is coming from that version, read Migrating from Connect to Forge before you follow anything above.

Next steps

Once you have a rule running, the rest of the documentation is organised like this:

  • Features - rules in depth: coverers, templates, timezones, precedence between overlapping rules, bulk assignment, and reclaiming work items when you return.

  • Integrations - create rules automatically from Microsoft Outlook, Google Calendar, Slack and Tempo, and manage REST API tokens.

  • JSM Features - approval delegation, agent availability in the customer portal, and what service desk customers are shown.

  • Quick Reference Guides Jira Out of Office - a one-page summary for each role.

  • FAQ - answers grouped by topic, including troubleshooting.

  • Privacy and Security - how the app handles your data.
