Quick Reference Guides Jira Out of Office
A quick reference guide is the one-page version of Out of Office Assistant for a single kind of reader. It lists what that reader can do in the app and links to the pages that explain each task in full. Six roles have one, so read the one that matches your access rather than your job title.
Pick your guide
What you can do in the app is set under App Settings > Permissions. It names the Out of Office admins by user and group, and lists the spaces whose space admins may manage rules for their members. Jira administrators always have full access. Everyone else manages their own absences only.
Guide | Read it if |
|---|---|
You record your own absences and nobody else's: rules on My Rules, reusable settings on My Templates, and calendar or chat connections on My Integrations. | |
You are named under Out of Office Admins and manage rules and templates for every user. Written for HR and anyone who manages absence cover across the site. | |
You are a space admin of a space that is listed under Space Admins, which lets you manage rules for that space's members. | |
You hold Jira administrator rights: appoint the app's admins, set up global integrations, and decide who may create REST API tokens. | |
You work requests in a Jira Service Management space and need cover for two things while you are away: the requests assigned to you, and the approvals waiting on you. | |
You raise requests through a customer portal, or you support people who do and want a page you can send them. |
Before you open one
Five of the six describe the app itself, which you open from the Apps section of the Jira sidebar once a Jira administrator has installed it. The customer guide is the exception: it is for the people on the other side of a service desk request, and explains what an agent's absence means for it.
If a control a guide names is missing, check your role before reporting a defect. Space admin access takes two grants made in different places: the space listed under App Settings > Permissions, and Jira space admin rights for you in that space under Space settings > Access. Being the space owner is not enough, and neither grant works alone.
