Live Meeting Features
During the live meeting phase, NASA provides real-time tools for time management, feedback, follow-up tracking, and dynamic agenda management. This page covers all features available during an active meeting.

Prerequisites
A stream with at least one participant who has prepared their update
Scrum Master or Coverer role to start and manage the meeting
All participants have clicked Enter Lobby after preparing
Meeting Lobby
Before the meeting begins, all participants enter the Meeting Lobby. The lobby displays:
Which participants are ready (profile image is clearly visible)
Which participants are still preparing (profile image is dimmed)
An optional video meeting link (Zoom, Google Meet, etc.) configured in Settings > General > Meeting Link
The Scrum Master or Coverer starts the meeting from the lobby once the team is assembled.

Timer
NASA includes a built-in timer to keep meetings on schedule. The timer mode depends on the meeting type.
Standup Timer
Time per user - Each participant gets a fixed amount of time (e.g., 2 minutes). The timer counts down during their turn.
Total meeting time - A single timer for the entire meeting, divided equally among participants.
Configure the standup timer in Settings > Time & Date > Duration.
Team Meeting Timer
Time per topic - Each agenda topic gets its own time allocation (e.g., 10 minutes for "Sprint Review", 5 minutes for "Blockers").
The timer is visible to all participants and adjustable during the meeting by the Scrum Master.
Configure topic time allocations in Settings > General > Meeting Questions.
Follow-Up Flagging
Any participant can flag items during the meeting for post-meeting action:
Click the flag icon next to any item (Jira issue or text item)
The item is marked as a follow-up
All flagged items appear in the Follow-up panel during the meeting
Flags are preserved in the Team Journal for future reference
Use follow-ups to acknowledge issues without derailing the current discussion. After the meeting, review flagged items in the Team Journal.
Emoji Reactions
All participants can react to items being discussed without interrupting the speaker:
Click the emoji button next to any item
Select a reaction (thumbs up, question, celebration, etc.)
Reactions are visible to all participants in real time
Reactions provide lightweight feedback and help the Scrum Master gauge team sentiment.
Comments
Participants can add text comments to any item during the meeting:
Click on the item to open the comment field
Type your comment and press Cmd/Ctrl+Enter to submit
Comments are saved to the Team Journal
Comments capture decisions, action items, or context that should be preserved alongside the discussed item.
Role Restriction
Live item creation and drag-and-drop reordering are available to Scrum Masters and Coverers only.
Live Item Creation (Team Meetings Only)
During Team Meetings, the Scrum Master and Coverers can create new items on the fly:
Click Add Item within any agenda topic
Choose the item type:
- Jira Issue - Create or search for a Jira issue
- Text Item - Add a free-text discussion point
- Headline - Add a section header
The new item appears immediately for all participants
This feature is not available in Standups, where the agenda is fixed to what participants prepared.
Drag-and-Drop Reordering
The Scrum Master and Coverers can reorder items during the meeting by dragging them to a new position. In Team Meetings, items can also be moved between agenda topics.
This allows the facilitator to prioritize urgent items or group related discussions.
Load Non-Joiners (Team Meetings Only)
When a participant prepared their update but could not attend the live meeting, the Scrum Master or Coverer can load their items into the active session:
Non-joiner items appear alongside items from present participants
The team can review and discuss the absent member's updates
This also works when a participant joins late
This feature is available in Team Meetings only.
Ending the Meeting
When all items have been discussed:
The Scrum Master or Coverer clicks End Meeting
NASA saves the meeting record to the Team Journal
Any configured Post-Meeting Automation rules execute
Follow-up items are preserved in the journal for later review
