Standup Meetings

This section covers everything you need to know about running effective Standup meetings in NASA - Not Another Standup App, from preparation to execution.

Standup Preparation (My Update)

Before the live standup meeting, each participant should prepare their update to ensure an efficient meeting.

Accessing My Update

  1. Open NASA from the Jira sidebar

  2. Select your standup stream from the dropdown (if you have multiple streams)

  3. Click on My Update in the sidebar navigation

Adding Issues and Items

NASA provides several ways to add content to your update:

Suggested Issues

The right panel displays Jira issues suggested based on your stream's configuration:

  • Issues assigned to you

  • Issues matching the stream's filter criteria

  • Recently updated issues

To add a suggested issue:

  1. Find the issue in the right panel

  2. Click the + button next to the issue

  3. The issue will be added to your update

Personal View

  • Issues or Confluence Pages filter by User Defined Filter (Settings)

Searching for Issues

If an issue isn't in the suggested list:

  1. Click the Search button in the right panel

  2. Type the issue key or keywords

  3. Click the + button next to the found issue

Creating Text Items

For updates not tied to a specific Jira issue:

  1. Click Add Text Item

  2. Type your update

  3. Press Enter or click Save

Creating Headlines

To organize your update with sections:

  1. Click Add Headline

  2. Enter the headline text

  3. Press Enter or click Save

Creating Comments

To provide more context to your updates, you can add comments to any Jira issue or Confluence page in your update.

To add a comment:

  1. Click on the issue or page you’ve added

  2. Enter your comment in the designated comment field

  3. Choose whether to save it:

    • Just for this meeting

    • Directly to the linked Jira issue or Confluence page

Why use comments?

  • Supports better verbal updates during the meeting

  • Adds helpful visuals or links to enhance clarity

  • Drives stronger Jira/Confluence adoption through integrated content

  • Saves time by avoiding duplicate work across tools

Note: Comments must be added during the preparation phase, not in the live meeting.

Answering Standup Questions

NASA structures your update around the classic standup questions:

  1. What did you do yesterday? - Add completed work items

  2. What will you do today? - Add planned tasks

  3. Any blockers? - Add issues blocking your progress

Navigate between questions using the Next button or by clicking directly on the question tabs.

Preparation Best Practices

  • Prepare in advance: Complete your update before the meeting starts

  • Be concise: Keep updates brief and focused

  • Highlight blockers: Clearly identify any issues needing help

  • Copy from previous: Use the copy feature to carry over incomplete items

  • Preview team updates: Check what others have prepared (if enabled)

Active Standup Meeting

The live standup meeting brings the team together to share updates and identify issues requiring attention.

Starting the Meeting

For Scrum Masters and Coverers:

  1. Ensure participants have prepared their updates

  2. Click Start Meeting to begin

  3. Wait for participants to join the lobby

For Participants:

  1. Complete your update preparation

  2. Click Enter Lobby when ready

  3. Wait for the Scrum Master to start the meeting

During the Meeting

Participant Actions

  • Share your update: Present your prepared items when it's your turn

  • Add emoji reactions: Provide quick feedback on others' updates

  • Request follow-up: Ask for items to be flagged for later discussion

Scrum Master/Coverer Actions

  • Manage the timer: Keep the meeting on schedule

  • Flag items for follow-up: Mark items needing further discussion

  • Facilitate discussion: Keep conversations brief and on-topic

  • Move between participants: Navigate through team members in order

Flagging Issues for Follow-up

When an item requires more discussion than appropriate for the standup:

  1. Click the flag icon next to the item

  2. The item will appear in the Follow-up tab

  3. These items can be addressed after the standup or in a separate meeting

Ending the Meeting

For Scrum Masters and Coverers:

  1. Ensure all participants have shared their updates

  2. Review any flagged follow-up items

  3. Click End Meeting

  4. The meeting record will be saved to the Team Journal

Standup Best Practices

  • Keep to time: Respect the timer to ensure meetings stay brief

  • Focus on the three questions: What was done, what will be done, and any blockers

  • Save detailed discussions: Use the follow-up feature for longer conversations

  • Regular cadence: Maintain a consistent schedule (usually daily)

  • Full participation: Ensure everyone is prepared and present

  • Review the Team Journal: Check the meeting record afterward for any missed items

Troubleshooting

  • Participant or issues not visible? Try refreshing the page first—this resolves most visibility issues. If the problem persists, check the stream’s filter settings and the user’s permissions.

  • Participant can't join: Ensure they have been added to the stream and have prepared their update

  • Issues not appearing: Check the stream's filter settings and the user's permissions

  • Timer issues: Verify the time settings in the stream configuration

  • Meeting can't start: Confirm the Scrum Master or a Coverer is present
